How to Write a Schengen Visa Cover Letter (with Indian Sample)

Of every document in a Schengen visa file, the cover letter is the one most often written badly. People paste a template they found on a forum, change the dates and the country name, and submit. Consulates have read those templates a thousand times.

What a Schengen visa cover letter actually is

Your cover letter is your only direct communication with the consular officer. Everything else, including your bank statement, your hotel booking and your itinerary, they have to interpret. The cover letter is your chance to tell them, in your own words, who you are, where you're going, why, who's paying, and most importantly, why you'll come back.

What to include

A strong cover letter for an Indian applicant includes seven things, in roughly this order:

1. Your introduction. Name, age, occupation, place of residence in India.
2. The purpose of your trip. One sentence. Don't overcomplicate it.
3. Your travel plan. Dates, country (or countries), main cities and a brief sense of what you'll be doing.
4. Who is funding the trip. You, your employer or a family sponsor. Be explicit.
5. Your ties to India. The most important paragraph.
6. Your prior travel history, if any.
7. A polite, brief closing. No "please grant me the visa" dramatics.

What to avoid

• Generic openings like "Dear Sir / Madam, I am writing to humbly request you…"
• Overpromising. Don't write that you "will definitely return". Show why you'll return.
• Excessive emotion. "It has been my lifelong dream" doesn't help your case.
• Padding. Two pages of cover letter is too much. One page is the right length.
• Inconsistencies. If your itinerary says 10 days in France and your cover letter says 15, the file is dead.

Sample 1: Tourist visa cover letter (salaried applicant)

Subject: Cover letter: France Schengen Tourist Visa application

Dear Sir / Madam,

I am [Full Name], aged 32, employed as a Senior Software Engineer at [Company Name] in Bengaluru, India. I am writing to apply for a Schengen tourist visa for a planned holiday in France from 12 June 2026 to 22 June 2026 (10 days).

Sample 2: Family visit cover letter

I am [Full Name], aged 58, a retired bank manager residing in [City], India. I am writing to apply for a Schengen visa to visit my daughter and her family in Munich, Germany, from 5 August 2026 to 25 August 2026 (20 days).

My daughter, [Daughter's Full Name], holds a German residence permit valid until [date] and works at [Company]. Her formal invitation letter, residence permit copy, and employment proof are enclosed. She will be hosting me at her residence at [address].

How to adapt these samples

Don't copy them word for word. The consulate has seen these structures too. Use them as a skeleton:

1. Keep the same paragraph order. It's the order consulates look for.
2. Replace every detail with your own real information.
3. Make the "ties to India" paragraph as strong and specific as you can.
4. Match the dates exactly to your itinerary, flight reservation, hotel bookings and insurance.
5. Print on plain A4 paper. No fancy formatting, no decorative borders.
